Fuel Pump Options

    We currently have GasBoy pumps on our above ground fuel tanks, problem is both pumps aren't reseting totals correctly making tracking hard to do. We currently just do paper sheets that I have to hand enter into an excel sheet at the end of the year. Parts we have been told are very difficult to come by.

    My question to all of you is: what pumps do you use and how are you tracking the fuel usage?

    Our fuel sheets have the following info on them: Name, Date, Equipment #, Gallons

    I'd love to get up to speed and be able to track electronically!

    We have gravity fed tanks at our place, we just purchased fuel meters from Granger, it has resettable meter up top (which we were having issues with) and smaller meters that we read below that aren't resettable, (we had an issue with that and decided to replace).

    We do everything by paper. and due to us being a government we have to be pretty accurate (we get a 10% variance which isn't much with the evaporation that gas will do, we do have a special cap that helps lower evaporation.). I measure with a stick to get an inventory amount, and stick through out the month to find my use, then I will record my main meter to also find how much I use and then add my various amounts recorded for each piece of equipment. We also put the hour on the sheet, that helps if the overall meter reading is off from the record for each piece of equipment, We find to big of gaps in hours between fill-ups.

    We have Fill-Rite pumps on all of our tanks. Both have analog meters with a restetable meter and a non-restetable totalizer. We go through about 70,000 gallons per year of unleaded and these pumps last us about 5 years.

    We also have Fuelshield from http://www.sciufm.com. This tracks everything digitally based on who, what, when, where it went and how much. Even though it is computerized, we still track on paper as backup and for comparison purposes. With this program, it also prevents gas from going in a diesel and vice versa.

    We also have cameras above our pumps,

    My secretary compares both logs with each other everyday for discrepancies. We can catch theft usually in less than 24 hours.

    Even with all of this, we still have those idiots that try to steal fuel.

    Yea, what Andy said is what we have, I guess that is one of my weaknesses, using too many words to get to the point.

    On your comment about tracking electronically....

    The FuelShield system we have was very expensive to install on each pump. Not to mention that each piece of equipment has a ring on it that cost around $45 each. For us, with over 250 pieces of equipment of vehicles fueling on a regular basis, it was a small investment in the grand scheme of things when you see how much fuel goes out on a daily basis. However, if if was just for my equipment on an 18 hole course, I would rather see the money spent elsewhere. Especially when our initial investment was around the price point of a new fairway mower.

    But, I do know there are other systems out there that may be more economically for a smaller scale operation. The biggest thing is being able to download the info from the system to your computer. We started with cell phone cards, then wired it directly to our network. I know some are capable of radio feed and/or wi-fi.

    Andy,

    Yeah nothing is cheap anymore. I'm just curious of options out there. We are a 27 hole facility with a pretty large equipment inventory including 100 gas carts. The paper sheets work, but it's a time suck in the winter for me when I enter them.
